ApplyIn5 (“ApplyIn5,” “we,” “us,” or “our“) is operated by Ctrl F Five For IT And Artificial Intelligence Consulting (“Ctrl F5 AI“), a company registered in Abu Dhabi, United Arab Emirates. This Privacy Policy explains what personal data we collect through our website, Chrome extension, and related services (together, the “Service“), how we use it, and the choices you have.

By using the Service, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Service.

1. Information we collect

1.1 Information you provide directly

  • Account details: name, email address, and password (or login credentials via a third-party sign-in provider) when you create an account or join the beta.
  • Profile and CV data: work history, education, skills, certifications, contact details, and any other information contained in the CV, resume, or profile you upload so that ApplyIn5 can generate tailored application materials.
  • Communications: messages you send us via email, Discord, or support channels.
  • Payment information: if you subscribe to a paid plan, billing details are collected and processed by our payment provider, Paddle.com Market Limited (“Paddle“), as described in Section 4.

1.2 Information collected automatically

  • Extension activity: when the ApplyIn5 Chrome extension is active on a supported job portal, it reads and fills form fields on the page you are applying through, and logs which applications were completed, in order to provide the auto-fill and generation features.
  • Usage data: pages visited, features used, timestamps, browser type, device type, and general log data.

1.3 Information we do not intentionally collect

We do not knowingly collect information from anyone under the age of 16. The extension is designed to act only on job application forms and does not read or store content from unrelated tabs, pages, or accounts.

2. How we use your information

We use the information we collect to:

  • Operate the core features of the Service — auto-filling job applications, generating tailored CVs and cover letters, and drafting answers to screening questions.
  • Create, maintain, and secure your account.
  • Process payments and manage subscriptions through Paddle.
  • Provide customer support and respond to inquiries.
  • Send you service-related communications (e.g., confirmations, security alerts) and, where you have opted in, product updates or newsletters.
  • Monitor, troubleshoot, and improve the Service, including training and evaluating the underlying AI features using aggregated or de-identified data where feasible.
  • Detect, investigate, and prevent fraud, abuse, or violations of our [Acceptable Use Policy] and [Terms of Service].
  • Comply with applicable legal obligations.

We do not sell your personal data.

3. AI processing of your data

To generate tailored CVs, cover letters, and screening-question answers, your profile and CV data, along with relevant job posting content, may be processed by AI models (our own or those of third-party AI providers acting as our processors) solely to produce your requested output. We do not permit these providers to use your data to train their general-purpose models except where required for the safety-related retention periods those providers themselves disclose.

4. Payments and Paddle

All purchases made through ApplyIn5 are processed by Paddle.com, which acts as the Merchant of Record for all transactions. This means Paddle:

  • Collects and processes your payment and billing information directly.
  • Handles applicable sales tax, VAT, and other transaction taxes across the markets it supports.
  • Manages invoicing, receipts, and payment-related customer service for billing disputes.

Paddle processes this data under its own privacy policy, available at paddle.com/legal/privacy. We recommend reviewing it, as Paddle acts as an independent data controller for the payment information it collects.

5. Sharing your information

We share personal data only in the following circumstances:

  • Service providers: hosting providers, AI model providers, analytics providers, and Paddle (for payments), each bound by confidentiality and data protection obligations.
  • Legal requirements: where required to comply with a legal obligation, protect our rights, or respond to lawful requests from public authorities.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, subject to standard confidentiality arrangements.
  • With your consent: for any other purpose disclosed to you at the time we collect the data.

6. Data retention

We retain your account and profile data for as long as your account is active, plus a reasonable period afterward to comply with legal, accounting, or security obligations. You may request deletion at any time (see Section 8). Extension activity logs are retained for a limited period for troubleshooting and abuse-prevention purposes and are then deleted or anonymized.

7. Data security

We use industry-standard technical and organizational measures, including encryption in transit and at rest, access controls, and regular security reviews, to protect your data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Your rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Request deletion of your data (“right to be forgotten”).
  • Object to or restrict certain processing.
  • Request a copy of your data in a portable format.

The Service is not directed to individuals under the age of 16, and we do not knowingly collect personal data from them. If you believe a child has provided us with personal data, please contact us so we can delete it.
