Welcome to ApplyIn5 (“we”, “our”, or “us”). This Privacy Policy explains how we collect, use, store, and protect your personal information when you use the ApplyIn5 web application and Chrome extension (collectively, “the Service”). By using our Service, you agree to the practices described in this policy.

1. Who We Are

ApplyIn5 is an AI-powered job application tool designed for professionals in the UAE and India markets. We are headquartered in Dubai, UAE.

2. Information We Collect

We only collect information that you voluntarily provide to us. No data collection is mandatory. However, the accuracy and usefulness of the Service depends on the completeness of your profile.

2.1 Web Application Data

When using the ApplyIn5 web app, you may choose to provide:

  • CV / Resume Data: Your work history, education, certifications, skills, and other career-related information.
  • Personal Details: Name, contact information (email, phone), nationality, and location.
  • Personal Email SMTP Settings: If you choose to send applications via your own email, you may provide SMTP credentials. These are encrypted at rest and used solely to send applications on your behalf.
  • Job Preferences: Preferred roles, industries, salary range, location preferences, work type (remote/hybrid/on-site).
  • Career Questions & Answers: Responses to common job application questions (e.g., notice period, visa status, salary expectations) that you pre-configure for auto-fill.
  • Demographic Details: Optional details such as date of birth, gender, or visa/work permit status. These are used solely to pre-fill application forms on job portals where required.

2.2 Chrome Extension Data

When you use the ApplyIn5 Chrome extension, the following data processing occurs:

  • Page Content Reading: The extension reads job description content on the current browser tab when you activate the Scan & Fill or CV generation features. This content is processed to match your profile and generate tailored outputs. No browsing history or passive tracking occurs.
  • Form Field Detection: The extension scans visible form fields on the page to enable auto-fill. This analysis happens locally and via our AI backend, using only the data from your saved profile.
  • LinkedIn Profile Optimisation: When you use the LinkedIn optimisation feature, the extension reads your current LinkedIn profile content and combines it with your saved CV data, career questions, and job preferences to generate recommendations. Your LinkedIn credentials are never accessed or stored.

2.3 Automatically Collected Data

  • Usage Data: Application counts, feature usage, and session data for billing and analytics.
  • Device and Browser Info: Browser type, OS version, and extension version for debugging purposes.
  • IP Address: Collected for security and fraud prevention.

3. How We Use Your Information

We use your data for the following purposes:

  • To provide and improve the Service (auto-filling forms, generating CVs and cover letters, answering application questions).
  • To personalise your experience and improve AI output accuracy.
  • To send application emails via your configured SMTP settings (only when you initiate an application).
  • To process payments and manage your subscription.
  • To communicate service updates, security notices, and product announcements.
  • To comply with legal obligations under applicable UAE and Indian law.

4. Data Sharing and Third Parties

We do not sell, rent, or trade your personal data. We share data only in the following limited circumstances:

  • AI Processing (OpenAI): Job descriptions and relevant profile data are sent to OpenAI’s API to generate tailored CVs, cover letters, and Q&A responses. OpenAI processes this data under their Data Processing Agreement and does not use API data to train their models by default.
  • Database Hosting (Supabase): Your profile and application data is stored on Supabase (PostgreSQL), which is hosted on secure cloud infrastructure.
  • Payment Processing: Subscription payments are processed by a third-party payment provider. We do not store your full card details.
  • Legal Compliance: We may disclose data if required by law, regulation, or a valid legal process.

5. Data Storage and Security

Your data is stored on secure, encrypted servers. We implement the following security measures:

  • Encryption at rest for all sensitive data including SMTP credentials and personal details.
  • HTTPS/TLS for all data in transit.
  • Access controls limiting who within our team can access your data.
  • Regular security audits and vulnerability testing.

Despite our best efforts, no method of transmission over the internet is 100% secure. If a security breach occurs that affects your data, we will notify you as required by applicable law.

6. Data Retention

We retain your personal data for as long as your account is active. If you delete your account:

  • Your profile data is deleted within 30 days of your account deletion request.
  • Application history may be retained in anonymised, aggregated form for analytics.
  • SMTP credentials are deleted immediately upon account deletion.
  • Backup copies may persist for up to 60 days in encrypted backups.

7. Your Rights

Depending on your location, you may have the following rights:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or incomplete data.
  • Deletion: Request deletion of your personal data (right to be forgotten).
  • Portability: Request your data in a machine-readable format.
  • Restriction: Request that we limit how we process your data.
  • Objection: Object to processing based on legitimate interests.

8. Optional Data — Your Choice

All data you provide beyond your email address is entirely voluntary. You can use ApplyIn5 with minimal data, though the quality of AI-generated outputs will reflect the completeness of your profile. You can update or delete any portion of your profile data at any time from the web app dashboard.

9. Children’s Privacy

The Service is not directed at individuals under the age of 18. We do not knowingly collect personal data from minors. If you believe a minor has provided us with personal data, please contact us and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you via email and/or a prominent notice on the website at least 14 days before the changes take effect. Your continued use of the Service after that point constitutes your acceptance of the updated policy.
